How many clicks does it take to find a file on your computer? If the answer is more than three, you've got a problem.
One builder at our Lean course: 70 clicks to find architectural stamp sets. Seventy. And he thought shortcuts were the fix.
Shortcuts Hide the Problem
Shortcuts don't fix a broken folder structure — they hide it. You're essentially putting a bandaid over a mess. The mess is still there. And when someone new joins your team, they can't find anything because they don't have your shortcuts.
The Fix: 3 Levels Deep
- Number folders in order of use — most-used first
- 3 levels deep maximum — if you need more, you're over-categorising
- No loose documents — everything lives in a folder
- Replace files, don't copy — one source of truth
That builder went from 70 clicks to 3. Hours back every week. Not from fancy software — from organising what he already had.
